From the first ring to the follow-up call.

One assistant, one line, one record per call. Here is exactly what happens, in order, and what your team sees at each step.

Step 1 · Answer

Picks up and says who it is.

The opening names the assistant as the AI Assistant of your hospital and says the line is recorded. You confirm the names, add one short sentence if you like, preview it, and publish from the console.

Console: Settings → Phone & AI → Voice & greeting. The screen on the right is the Settings page and its tabs.

Step 2 · Identify

Finds the client and the pet before it changes anything.

Phone number first, then name and pet, confirmed back to the caller. New clients are created with only what the practice needs. If identity is not certain, the assistant does not guess; it asks, or it hands off.

Guard: wrong-patient protection; honest confirmation of what was found.

Step 3 · Screen

Emergency routing is code, not conversation.

A keyword floor approved by your veterinarian runs on every turn. The language model can raise the alarm; it cannot lower it. After hours, your approved emergency instructions and referral facility are read out. If your hospital has approved an in-hours emergency exam, an emergency caller can be booked into it during open hours. The call never slides back into routine booking on its own.

Console: Settings → Phone & AI → Emergency instructions → Emergency keywords · Emergency call script · After-hours emergency facilities

Step 4 · Check PIMS

Real availability, your appointment types, your rules.

Appointment types come from your practice software, and you choose which ones are on. Booking rules (shortest notice, how far ahead callers can book, notice needed to reschedule) are set once.

Console: Settings → Appointment settings → Booking rules

Step 5 · Book & confirm

Writes it, checks it landed, then texts the caller.

The appointment and the note are written to your system and read back after the write to confirm. The confirmation text goes out automatically with “Reply STOP to opt out”; STOP is enforced before any later message is queued.

Console: Appointments · Settings → Messaging → Client notifications

Step 6 · Follow up

The transcript is in your team's inbox after the call.

Your configured recipients get the full transcript and a secure link to the recording. Callbacks and refill requests are queued for your team with the reason. After a completed visit, a cancellation or a missed appointment, your team starts follow-up calls from the Follow-Up Calls list, and each one appears in Calls as an outbound call.
