Features

Everything a front desk does, with the safety rails written in code.

Ten capabilities, each with what it does, what your team controls, and where it lives in the console. One carries a short film, and one shows the screen itself.

Emergency routing

Deterministic keyword floor approved by your veterinarian; the AI may only raise it. Uncertainty escalates. During open hours, if your hospital has approved the rule, an emergency caller can be booked into a same-day emergency exam. After hours they hear your approved emergency instructions and your referral facility by name, address and phone.

  • Vet-approved emergency floor and call script
  • Open hours: book an emergency exam, when your hospital approves the rule
  • No silent return to routine booking

Console: Settings → Phone & AI → Emergency instructions

An emergency call crossing the safety floor and handed to a person · starts at 0:44 of "A routine call, then an emergency" (1 min 41 s) · narrated, captioned · sandbox hospital, synthetic callers

Warm transfer

When a caller asks for a person during business hours and live transfer is set up, the assistant offers to connect them and rings your first line. The caller is connected only when someone on your team answers. If nobody does, the assistant takes a callback and your team gets a task.

Console: Settings → Phone & AI → Call handling & transfers

PIMS sync

ezyVet and Rhapsody live, Google Calendar as the fallback. Each adapter is capability-based; provenance is shown on every appointment.

Console: Settings → Connections · Appointments

SMS

Transactional confirmations, reschedule and cancellation notices carry “Reply STOP to opt out”. STOP is stored per hospital and phone and enforced fail-closed before anything is queued.

Console: Settings → Messaging → Client notifications

If nobody answersExample

“Hi, this is Ava, the AI Assistant of Riverbend Animal Hospital, calling about Bella. If you have any questions or concerns, please call us at 301-555-0100. Thank you.”

Follow-up calls

After a visit, a cancellation or a missed appointment, your team starts a call from the Follow-Up Calls list and the assistant phones the client, introducing itself by your hospital’s own assistant name. If nobody answers it leaves a voicemail. It records how the pet is doing, any client concerns and whether a follow-up appointment was wanted.

  • The list shows every appointment your practice system has for the dates you choose
  • Your team starts the calls, one row or several at once, from your hospital’s own number
  • Every result is in one table, and staff can call again

Every appointment your practice system has for the chosen dates is listed. Sample data, no real client or patient information. Nothing here places a call.

Recordings & transcripts

Recording is announced. Transcripts go to configured recipients only, never to caller-supplied addresses. Playback and download are permission-gated.

Console: Calls → call detail · Settings → Recording & privacy

Readiness

One page lists what still blocks going live, each fault with the exact next step and a link to the setting. An activation gate keeps the number from going live until the checks pass and test calls have been made.

Console: Settings → Configuration readiness · Setup → Activation gate

Training

Questions the assistant could not answer are listed as knowledge gaps. Your team writes the answer, with suggested wording to start from, and publishes it for your hospital’s assistant.

Console: Training

Wording your hospital controls

Nothing the assistant says to your clients is hidden from you. The console shows the wording used on follow-up calls, with separate examples for the greeting, what is discussed, how the call ends and the voicemail, and it shows every text message a client can receive. Clinical wording is reviewed by your veterinarian before it is presented as approved.

  • The greeting uses your hospital’s name and the assistant name you chose
  • One switch per client message; a message that cannot be turned on yet says why
  • Each message has its own Save and Cancel, so changing one never changes another

GreetingExample

“Hi Alex, it’s Ava, the AI Assistant of Riverbend Animal Hospital on a recorded line. I’m following up on Bella’s visit yesterday. Is now a good time for a quick check-in?”

Appointment confirmation textExample

“Riverbend Animal Hospital: Bella is booked for Thu, Oct 8 at 9:20 AM with Dr. Alvarez. Reply STOP to opt out.”

Test calls & scenarios

Every assistant is run against 300 scripted scenarios with transcript-level checks, and every hospital gets a test-call checklist before the line goes live.

  • Identify, emergency, booking, refill, transfer and speech-confusion families
  • Scored on the transcript and the audit record

Console: Test runs · Onboarding → Test-call checklist

Evidence, not promises

Read the calls, not the claims.

Six sample calls show the transcript and what the assistant decided on each one.
